Rooms Extension

The following illustrates the layout of the Rooms extension in Appspace.

Devices Tab

The Devices tab lists all registered devices and the related network data such as calendar provider type, location, assigned theme, IP address, device group, and the communication status between the Appspace server and the device. Filters in the left pane allow users to filter devices by theme or status. Users can also view and configure devices settings here.

Themes Tab

The Themes tab lists the themes imported into the Rooms extension, and provides details such as theme description, type, the name of the user who created the theme, and modified date. Users can import new themes, and export or delete existing themes.

Note

Prior to Rooms 2.0, this tab was known as the Templates tab.

Logs Tab

The Logs tab provides the ability to view and download various activity reports for the Rooms extension. This tab provides a bird’s eye view of all booking activities. The default view displays data for the current month. Users can gather and filter data by desired date or time, and export reports as CSV files.

Note

Prior to Rooms 2.0, this tab was known as the Reports tab.

Provider Tab

In the Provider tab, users can configure the Calendar Provider and input details such as the server address, domain name, calendar type, and login credentials.

Rooms App (Device)

The following illustrates the layout of the Rooms app running the default theme on a device.

Note

If using a custom theme, this information may not apply. Many behaviors of the default theme can be overridden.

Room Schedule

Once installed, configured, and registered on a device, the app displays the appropriate meeting room schedule.

Room Booking

The Rooms app also provides users with a 2-way interactive ability to book an instant meeting. By using the device’s touch screen, users can check the room availability before scheduling.

Meeting Extending/Ending

If a meeting is currently in progress, the Rooms app allows the user to extend the meeting by moving its end time, or ending the meeting immediately. By using the device’s touch screen, users can check the room availability before scheduling.

Note

When using Exchange, if the meeting in progress was booked by some other method than through the Rooms app, choosing to end the meeting in the Rooms app may not necessarily end the meeting in Exchange.

Screensaver

The default theme contains a screensaver feature to prevent screen burn-in on susceptible devices.

Two screensaver modes are available:

  • Bounce (default) - display the current or next meeting’s information in a bouncing box;
  • Slideshow - display a sliding carousel of branded images when the Rooms app is not in use.
