Create Google Slides/Google Sheets cards

This article provides the instructions to configuring and creating a Google Slides or Google Sheets card, which is ideal for displaying the contents of a Google Slides presentation with the ability to set slide duration, or Google Sheets information with the ability to zoom to specific cells on the spreadsheet. The cards can be configured with a public sharing link without authentication, or a private sharing link with authentication.

Note

An improved Google Slides card with authentication is made available on June 1st 2019, while the Google Sheets card with authentication is made available on June 28th 2019. These cards are now Appspace Supported cards, which will be periodically updated by Appspace with new templates and features.

Existing Google Slides card templates (prior to this release) which were categorized as Community Cards will be removed from the Appspace console.

The Google Slides and Google Sheets cards do not need authentication by default. However, if your company has IT security policies that do not allow to publicly share Google Slides or Google Sheets documents, you need to configure authentication on the card with your GSuite credentials to allow these secure documents to be displayed via the Appspace App. An administrator must configure these settings prior to creating the card.

You must also ensure these documents have been configured for sharing.

Follow the instructions below:

  1. Configure Google Slides/Google Sheets Card Authentication (Optional)
  2. Create a Shareable Link from Google Slides or Google Sheets
  3. Create Google Slides Card or
  4. Create Google Sheets Card

Important

  • Cards are only supported on devices with the standard Appspace App or Appspace App integrated devices. To ensure your device is compatible, please refer to the Supported Card Types section in the Compare device media player capabilities article.
  • Legacy devices are not supported.
  • For more information on the basic functionality of creating a card and types of available cards, please refer to the Create a card article.

Prerequisites

  • A supported device. To ensure your device is compatible, please refer to the Supported Card Types section in the Compatible operating systems and devices

    Warning

    The Google Slides/Google Sheets cards are currently not supported on iOS based devices due to a bug, which would be resolved in an upcoming update.

  • Appspace App 1.28 and above, installed and registered on a supported device. Click here for instructions: Register a device

  • Content Administrator or Account Owner role in Appspace to configure the Google card for authentication.

  • Content Administrator or Content Producer role in Appspace to create the Google card.


Configure Google Slides/Google Sheets Card Authentication

Follow the instructions below to configure the Google Slides/Google Sheets card for authentication. Content Administrator or Account Owner role is needed.

Note

You may skip this section if you do not need authentication.

  1. Login to the Appspace console.

  2. Navigate to System > Cards from the Appspace menu on the left navigation bar, and click the Themes tab.

  3. Select Google Slides or Google Sheets from the Filter By drop-down menu, and click the Duplicate icon of the Base Theme.


  4. Enter in a name for the card theme, and click the Authenticate button.


  5. Select or enter in your Google Suite credentials, and click Allow to enable Appspace to access the Google account.

  6. Click Save once the card is authenticated.


Create Google Slides Card

Follow the instructions below to create a Google Slides card.

  1. Login to the Appspace console.

  2. Click the QUICK ACTION menu on the top right and select Create Card, and proceed to step 3 below.

    Or click Library from the Appspace menu on the left navigation bar, and proceed to step 2 below.


  3. Select the desired folder in the library, and click the ADD button, and select Create Card.


  4. Select Google Slides from the Filter by template menu, and select the desired card theme.

    Important

    If you’re using a secured Google Slides URL, ensure that you select an authenticated Google Slides theme that is able to view the Google Slides presentation.

    To authenticate a Google Slides card, follow the instructions in the Configure Google Slides/Google Sheets Card Authentication section.

    To secure your Google Slides presentation, follow the instructions in the Create a Shareable Link from Google Slides or Google Sheets section.


  5. Enter in the Google Slides shareable URL obtained earlier, and click Next.


  6. Select the interval duration between slides. Default is set to 8 seconds.

    If Manual is selected, user input (such as a mouse) is required to switch the slides, use the laser pointer, and jump to a specific slide.


  7. Click Next.

  8. In the Save tab, fill in the Title, as this is a mandatory field.

    Optionally, you may fill in the Article, Caption, Content Expiry, Content Tags and even upload a custom thumbnail for the content.


  9. Click the Save button to complete.

  10. You may now create a playlist channel and add the card to it.

    Important

    Ensure the Google Slides card duration in the playlist is set to match the total Google Slides presentation duration.

    Example: If the Google Slides presentation contains 5 slides, with each slide duration is set to 8 secs (default), ensure the playlist duration is set to a minimum of 40 secs or more.



Create Google Sheets Card

Follow the instructions below to create a Google Sheets card.

  1. Login to the Appspace console.

  2. Click the QUICK ACTION menu on the top right and select Create Card, and proceed to step 3 below.

    Or click Library from the Appspace menu on the left navigation bar, and proceed to step 2 below.


  3. Select the desired folder in the library, and click the ADD button, and select Create Card.


  4. Select Google Sheets from the Filter by template menu, and select the desired card theme.

    Important

    If you’re using a secured Google Sheets URL, ensure that you select an authenticated Google Sheets theme that is able to view the Google Sheets spreadsheet.

    To authenticate a Google Sheets card, follow the instructions in the Configure Google Slides/Google Sheets Card Authentication section.

    To secure your Google Sheets spreadsheet, follow the instructions in the Create a Shareable Link from Google Slides or Google Sheets section.


  5. Enter in the Google Sheets shareable URL obtained earlier, and click Next.


  6. Select the zoom level of the spreadsheet. Default is set to 100%, and anchors to the top right corner.

    This can be used to only display certain portions of the spreadsheet.


  7. Click Next.

  8. In the Save tab, fill in the Title, as this is a mandatory field.

    Optionally, you may fill in the Article, Caption, Content Expiry, Content Tags and even upload a custom thumbnail for the content.


  9. Click the Save button to complete.

  10. You may now create a playlist channel and add the card to it.
